Family Lynx Service Policies
At Family Lynx, professionalism begins long before a camera is lifted or a drone takes flight. Our work involves documenting properties, projects, infrastructure, and environments that matter to people—homes, investments, businesses, and critical community assets. Because of that responsibility, we operate under clear operational standards that guide how our services are scheduled, performed, and delivered.

The policies below establish the core operational framework for all Family Lynx services. They outline expectations regarding scheduling, travel, data handling, service limitations, and operational procedures.

Some specialized services—particularly Infrastructure Inspection & Visual Assessment engagements—operate within environments that require additional operational structure. When applicable, those additional guidelines are outlined in a dedicated section below.
These policies exist to ensure transparency, protect both parties, and provide clarity before a project begins.

Scope of Service
Family Lynx provides structured visual documentation services designed to record the visible condition and spatial layout of properties, projects, infrastructure, and operational environments.
Our work focuses on producing organized visual records that allow owners, managers, contractors, municipalities, and remote stakeholders to clearly understand a location without needing to be physically present.

Family Lynx services are observational and documentation-based. They are not professional inspections or engineering evaluations.

All interpretation of documentation remains the responsibility of the client and any licensed professionals they choose to engage. Our role is to document clearly and accurately—not to draw technical conclusions.

Operational Conditions
Field documentation occurs in real-world environments where conditions can vary.

If conditions prevent safe or compliant operation, Family Lynx may modify or reschedule the appointment. Safety and regulatory compliance always take precedence over scheduling commitments.

Aerial Operations
Some Family Lynx services utilize aerial documentation through unmanned aircraft systems (drones) to capture perspectives not accessible from the ground.

Flights are conducted by an FAA-certified Remote Pilot in Command who maintains operational authority and responsibility for each flight. Drone deployment is frequently used but cannot be guaranteed in every environment due to airspace authorization, weather conditions, or safety limitations.

Scheduling & Cancellation
Scheduled appointments represent reserved production time and preparation. This may include route planning, equipment staging, airspace checks, and calendar allocation.

The following cancellation structure applies:
More Than 24 Hours Before Appointment - No cancellation fee applies. Deposits may transfer to a future appointment or be refunded at owner discretion.
Within 24 Hours of Appointment - A cancellation fee equal to 25% of the scheduled service cost applies.
Same-Day Cancellation, No-Show, or Cancellation After Travel Begins - A cancellation fee equal to 50% of the scheduled service cost applies. Applicable travel expenses may also apply.

These policies protect reserved time, preparation investment, and the ability to maintain reliable scheduling.

Refund Policy
Refund eligibility depends on the stage of service delivery.
Prior to Operational Deployment - Payments may be refunded according to the timing rules defined in the Cancellation Policy.
Once Operational Deployment Begins - Field execution revenue becomes non-refundable. Deployment includes travel toward the project location, equipment staging, or the start of on-site capture operations.
After Deliverables Are Transmitted - Digital deliverables are non-refundable.
If a deliverable fails to meet the documented scope of work, correction of the deliverable is the primary remedy. Refunds are considered only if the issue cannot be corrected.

Data Ownership
Upon full payment, delivered documentation files become 100% the property of the client. Clients may store, distribute, edit, or reuse the materials without restriction.
Family Lynx retains no ownership rights unless the client provides written authorization for marketing or portfolio use.

Data Retention
Family Lynx follows a minimal-retention data doctrine.
​
Standard retention policy:

Files retained for 14 days following delivery

Retention may be extended upon written request

Maximum retention 90 days

Family Lynx does not operate as a long-term archival storage provider.
Clients are responsible for securing and storing their delivered materials.

Travel & Service Area
Family Lynx operates from Chehalis, Washington. For most Family Lynx services, travel within 100 miles (one way) of the operating center is included in standard pricing. Locations beyond the included service area are billed at $1 per additional round-trip mile. Travel exceeding 150 miles one way may require additional coordination depending on scheduling, travel time, or logistical considerations. Travel distance is calculated using the most practical driving route between the Google Map's center of Chehalis, WA and the project location.

Liability Boundary
Family Lynx acts strictly as a visual documentation provider. Services do not include engineering analysis, structural determinations, or professional inspection conclusions. Liability associated with any engagement is limited to the amount paid for the service. Family Lynx cannot assume responsibility for decisions made based on the interpretation of documentation materials.
​
Confidentiality
Client trust is essential to our work. Project materials are treated as confidential by default. Family Lynx will not publish or distribute project materials for marketing or portfolio use without written client authorization. Sensitive environments, private properties, and operational locations are handled with strict discretion.

Additional Policies for Infrastructure Services
​
Infrastructure documentation engagements operate in environments that may involve public safety considerations, remote access locations, and coordination with municipal or infrastructure operators. Because of this, additional operational guidelines apply.
​
Consultation Requirement
Infrastructure services are not instant-purchase services.
Each engagement begins with a consultation to confirm:

On-Call Positioning
Infrastructure services are the only Family Lynx services positioned as on-call capable.
​
On-call positioning means:

Priority scheduling when feasible

Rapid deployment when operationally possible

Flexible response capacity

It does not guarantee emergency response times or 24/7 standby availability unless specifically contracted.
​
Confidential Infrastructure Data Handling
Infrastructure documentation is treated with heightened confidentiality.
Materials involving critical infrastructure are never used for marketing or portfolio purposes without explicit written authorization. Sensitive locations, vulnerability indicators, and operational infrastructure details are handled with strict discretion.

Infrastructure Travel Policy
Infrastructure deployments include travel within 60 miles (one way) of the Family Lynx operating center. Additional travel is billed at $1 per round-trip mile. Remote sites, extended deployments, or overnight travel may require project-specific coordination.

Infrastructure Liability Boundaries
Infrastructure services remain observational documentation only.
